Job Description: Key Responsibility Areas: • File maintenance as per procedure and reflecting all documentation and correspondence accordingly • Ensure client file reflects up to date status of event by means of function sheet • Liaise with client and accurately transpose all requirements onto function sheet utilizing Opera • Ensure integrity of all information contained on function sheet prior to weekly function run • Communication with operators concerning the event and any changes • Facilitation of pre-conference meeting with the client and operators to verify all detail contained in functions sheet • Ensure constant liaison with client whilst on site and communication of any issues to management • Ensure that all function inventory is correctly allocated per client requirements • Advance venues and verify all function sheet requirements have been delivered • Introduce client to all operational personnel executing event/functions • Ensure that site meetings/educationals/pre-con meetings are forwarded for inclusion in the weekly EOC pack in the prescribed format • Ensure that all VIP delegates and organizers as denoted by the conference organizers are profiled by designation for inclusion in this document • Ensure all written and verbal communication to internal and external customers is of the highest standards and conform to response time parameters and that all standard documentation are adhere to formats / policies and procedures • Attend weekly E & I and pairing meetings • Oversee, mentor, assign and monitor tasks to Event co-ordinator • Ensure that all information relevant to other departments that the Event Co-ordinator receives, is send through to them timeously i.e. proof of payment/deposits slips, final numbers and rooming lists • Conduct performance management appraisals and assessments • Identify training requirements for Self and staff development • Manage guide and coach your Co-ordinator • Be the principal contact for an organizer on the Resort

Main Purpose of the Job: Reporting to the Operations Manager, the incumbent will be responsible for ensuring client events are planned & delivered to the highest standards attainable – with all relevant procedures and correspondence accordingly completed.
Education, experience and competencies required: • Matric + Hotel School Diploma or Equivalent • 4-5 years experience in a 5* hotel environment; as well a minimum of 3 years as an Events Co-Ordinator is essential • Hospitality operational management is an advantage • Ability to manage high volumes essential • Good people management skills • Excellent ability to conceptualise events and advise clients accordingly • Previous sales experience advantageous • Good knowledge of Opera, ORS, Word, Excel • Excellent interpersonal and co-ordination skills • Strong organizational and time management skills • Able to perform under extreme pressure and stressful circumstances
